  • Overview

    Provide administrative support to the Client's Monitoring Excellence Team and VP Global Head Regions, handling various administrative activities of the team including coordination of team meetings and other project activities.

    Responsibilities

    General administrative support

    • Schedule meetings, teleconferences, and video conferences; ensure all relevant teleconferences and/or contact information are included in meeting invites; secure catering and logistics
    • Work with meeting services to plan global staff meetings for monitoring excellence team
    • Meeting minutes processing, distribution and follow‐up
    • Communication Skills must be at a level to effectively interact with executives and internal/external clients.
    • Supports the use of Sharepoint Team Sites
    • Provide backup coverage for the Lead Associate to the client's VP Global Head of Monitoring Excellence on an as needed basis
    • Coordinate other ad hoc projects as needed
    • Flexible working hours (hours may occasionally change depending on meeting agendas)

    Support to the Sourcing activities

    • Prepare agenda and minutes for routine Monitoring Excellence meetings
    • Prepare and modify documents including correspondence, reports, drafts, memos as needed
    • Support scheduling and logistics for Monitoring Excellence F2F meetings
    • Maintain access to Unblinded Team Space

    Qualifications

    Required: High School Diploma /Preferred: College Degree

    • Seasoned Administrative Assistant supporting multiple range of executives (Associate Director, Director and Executive Director or above)
    • Advanced computer skills using MS Office (Outlook, Word, Excel, Power Point
    • etc.) and Sharepoint
    • Meetings and event planning experience a plus
    • Advanced administrative abilities ‐ meeting minutes experience preferred
    • Ability to handle and prioritize a large number of simultaneous assignments
    • High attention to detail
    • Outstanding communication and people skills; team and leadership skills a plus
    • Experience in Pharma a plus
